The Opportunity

The Office Manager position is a vital position in our Workplace organization. This position is also the primary administrative support for the Workplace Division Vice President and senior leadership team. This position will interact with a diverse group of important external clients and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload.

Additionally, this position is responsible for planning and coordination of business and employee events, providing logistical arrangements for office meetings, management for office and facilities with building management, ordering business and breakroom supplies, along with special organization projects.

What You’ll Work On

  • Provides high level administrative support to Workplace Divisional Vice President

  • Maintains DVP calendar including meetings, coordinating travel arrangements, other executives and staff meetings

  • Assists in meeting preparation as needed – putting visuals together, agendas, conference room set up

  • Maintains positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors

  • Supervises the department’s administrative personnel, including Office Receptionist and Facilities Coordinator

  • Ensures employee compliance with policies and practices. Develops time schedules for routine activities in the department

  • Provide cross-site coordination with Richmond, VA and Manilla Workplace offices

  • Ensures that the organization’s administrative needs are met in a timely and efficient manner

  • Evaluates administrative processes and revises as needed

  • Tracks expenditures of the unit/department as assigned

  • Ensure maintenance of essential department records

  • Communicates with employees to ensure they are updated on new or changed processes, procedures, and policies within the organization

  • Oversees arrangements for consultant agreements and services, including reimbursement

  • Recommends solutions to complex personnel and administrative issues

  • Coordinates and facilitates special organizational projects as needed

  • Ordering supplies needed for the business

  • Assist in facilities logistics as needed

  • Additional duties as assigned

Required Qualifications

  • Bachelor’s Degree in Business Administration or related field or equivalent work experience

  • Minimum 5 years work experience as Office Manager or relevant business experience

Preferred Qualifications

  • Strong computer skills including proven Microsoft Team’s administration, Power Point and other Microsoft suite of products

  • Previous Corporate and Executive Administrative experience

  • Excellent interpersonal skills/credibility

  • Program or project management experience

  • Strong attention to detail

  • Excellent time-management and organizational skills

  • High level problem solving and decision-making skills

  • Excellent customer service and collaboration skills

  • Demonstrated strong communication skills, both verbal and written

The base pay for this position is $57,300.00 – $114,700.00. In specific locations, the pay range may vary from the range posted.
